Registration Questions

Is my BeJUG membership still valid ?

If you've created or extended your BeJUG membership in 2005 then you still have a valid membership in December 2005. This means you can register as a BeJUG member and receive a 33% discount.
FYI - You can not attend two JavaPolis conferences with one annual membership.

How do I know if my BeJUG membership is not expired?

1) See the above answer.
2) Send an email to info@bejug.org, so the BeJUG administration can verify your membership.

Do I have to be a BeJUG member to attend JavaPolis?

NO !! Just select 'I'm not a BeJUG member' in the registration wizard.
Nice to know, every JavaPolian becomes automatically a BeJUG member for one year and can attend for free our BeJUG workshops during that year.

I attended the JavaPolis conference last year and I'd like to find out how much it would cost to extend my BeJUG membership for 2005.

A BeJUG membership is for one year, and you can only attend ONE JavaPolis during this annual membership. This means that if you've attended last years JavaPolis your membership will be expired when JavaPolis takes place in December 2005. So you'll have to select 'I'm not a BeJUG member' within the registration wizard.

FYI - People who attend and pay for JavaPolis become automatically a BeJUG member, this means you can also attend the 3 workshops BeJUG organizes during the year !!

What does the option "Visum Invition needed" mean on the registration page?

Certain attendees need a formal invitation from JavaPolis to receive a visum from the Belgian ambassady in their country (for example Serbia and Montenegro).

I am in the US. What is the easiest way to send my registration payment?

The easiest way is to "Send Money" via PayPal to 'sja at bejug dot org'. Please mention "JavaPolis 2005 Payment" in the subject and the invoice reference in the note field. If you don't have PayPal you can do a normal bank transfer or send a cheque, see invoice for more details. You can also pay your entrance fee with a credit card OR cash at the JavaPolis registration desk.

Having not received any acknowledgment of my registration yet, is there a way to know if it has been well received ?

People who register for JavaPolis and select 'I'm a BeJUG Member', receive a delayed confirmation after verification of your membership.
If you register for JavaPolis and select 'I'm no BeJUG member' you receive immediately a confirmation including a related PDF invoice.

What about a confirmation that the conference fee has been received?

We don't send a payment confirmation email, however if uncertain you can always send an email to payments@bejug.org.

What is the Account Number and Name?

You are probably asking this because you reached bureacratic nonsense at your local bank whilst trying not to abuse your teller at the same time!

The short answer just write the account name as "JAVAPOLIS 2005 / BEJUG / KREDBEBB" and fill in the account number as "475-7036601-43".

The long answer is in Belgium the account name is actually a SWIFT code number: KREDBEBB. (SWIFT stands for Society for Worldwide Interbank Financial Telecommunication and is
commonly used in lots of European investment banks as a settlements, cashflow and
accounts clearing process). The Belgians, themselves, have a system of their own called IBAN, which also has a number BE66475703660143, with a sorting number code, and notice it
actually embeds the account number.

When should I expect to receive a conference badge/pass?

We'll ship the university/conference badges the first week of December to all BeNeLux attendees.
The other international JavaPolians will be able to collect their badge at the JavaPolis registration desk.
This change of plan will get announced during our JavaPolis eCard of November 28th.

Some people live in countries where they need a written invitation to attend JavaPolis. This was the case last year for Russia and Croatia...

When I received my registration invoice my first and last name was switched. It said Mr. Howard Adam.

I've registered myself to attend the Java University but it seems that I don't need to choose the room I will attend. Is this considered normal. If not, where/when will I have to choose?

You do not have to choose a room or session in advance.
Selecting University and/or Conference is sufficient as this also gets reflected in your entrance fee.

Any paying JavaPolian who attends the Conference or University can attend for FREE the 3 BeJUG workshop which get organized after JavaPolis in 2006

I noticed that you are planning to ship the badges the first week of December. For us that are not located in Europe (US in my case), it sounds like it would be cutting it a bit close, especially since I'd think most people would be leaving for the conference on either the 9th or 10th of Dec. Any chance of either sending them a little earlier, or maybe hold them for us at the registration desk?

Hello Joakim, Due to some unforseen delays we'll only ship the conference badges to the BeNeLux attendees, the other international attendees will be able to collect their badge at the registration desk.

We'll mail this change in our upcomming JavaPolis eCard !

Hi,

1st question : Are badges nominative ?
My company plans to send specialists : 2 or 3 guys on Monday, 2 or 3 OTHER guys on Tuesday, and maybe 1 or 2 others at conferences on Thursday.
=> Do we need 8 badges or 3 ???

2nd question : 150 or 300 euro for a "conference only" badge ?
On the same page, it is written that "an additional 150 Euro" fee is required to attend conferences. Even if we come only on "conference days", we pay 300 euro or only 150 ?

Last question : registration ?
I read here (http://www.javapolis.com/jp05reg/registration/start.htm) that you have a "private registration" and a "company registration".
I suppose that the difference is that, in "company registration", you can register for many badges in one shot ?
And what is the deadline for registration ?

Hello Julien,

1) Badges are nominative however the security will only check if you've a valid badge and NOT check if your ID mathces badge name

2)

  • 150 Euro (+VAT) for the JavaPolis University day (12, 13 December)
  • 150 Euro (+VAT) for the JavaPolis Conference days (14, 15 and 16 December)
  • OR 300 Euro (+VAT) for the 5 days.

3) Correct, company registration allows you to register multiple people but with one contact person. Also VAT and PO can be given in the company registration, which is not the case for private regs.

Hi there,

Two questions:
1. does a shuttle drive to and from the Javapolis to the hotels daily? I booked the Novotel for 8 Javapolis visitors for the whole week and hope they donot have to take a taxicab twice every day...
2. when I made reservations for the Novotel, they told me there are no special rates during the Javapolis with this hotel. We are now thus paying the normal, full price. Why does the hotel not know about any special rates for Javapolis visitors??

Hi Audrey,

I've just checked with the Novotel and your reservation is made at the special JavaPolis rates (75 for a single room and 85 for a double room). You even have this confirmation on paper since you've booked these room together with an extra meeting room during JavaPolis.

For the shutlle, I can't confirm you now since we first want to know the reservations in all the JavaPolis related hotels. You'll find more info later on on the wiki.

Similar to last year, we'll have a free cyber-cafe (courtesy of Sun Microsystems) within the exhibition hall. You can also purchase WIFI access (using credit card) from the local WIFI provider. The WIFI access will work in the exhibition and presentation rooms.

Hello, I am an IT-student and I would like to come to Javapolis.
But 150? is too much for a poor student .
I heard that students can come for free, is this true?
What can I do?

JavaPolis has invited several hundred students for the University days (12 and 13 December) through high schools and Universities. However the JP registrations must be coordinated through the school administration to avoid misuse !

Hello,

After some hard work the last couple of days, I finally got permission from my current project to attend JavaPolis again this year. And just in time, for that matter, as the registration is only open till tomorrow.

But now I got a question, before I let my company register me. Will the payment be on time if I register today, taking into account that I'm from the Netherlands. Or will my company receive an invoice they of course will happily pay, but due to the time it takes for such an international payment to be actually processed, will I have to pay on monday at the registration desk again? If the latter is the case, wouldn't it be better for me to register on a personal account, pay the amount myself and then let my company pay me back again? But what of the VAT amount and invoice then?

Hopefully you will be able to answer this question quickly, as I'm eager to register and visit Javapolis again this year.

Hello Tim,

When you register personally you'll receive an invoice with VAT, this invoice can then be paid to you as "expenses" by your company. This approach will allow you to pay the invoice directly for example through paypal. Otherwise you'll need to pay at the registration desk with cash or credit card. Hope this helps ?

It will by my first appearance at JavaPolis, so have a question about the "breakfast" and "lunch" you see each day in the agenda: are these ones provided by JavaPolis? Or is it possible to buy some food at the spot? Or do you have to bring it yourself?

Breakfast and lunch are provided by JavaPolis however there are several restaurants (including fast-food) next to the MetroPolis venue...

I've registered last week but I didn't receive an ID badge yet. Can I collect a badge at the information desk on monday also (cause I'm not an international attendee)? If true, do I need some form of confirmation?

International attendees have to collect their badge at the JavaPolis registration desk. BeNeLux attendees where we've received the payment after November 30th wil also have to collect their badge onsite.
